Privacy Policy

Welcome to House Manager. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It applies to the Android app and any related services operated by Black & White Studio ("we", "us", "our").
Privacy in one line. Your NID numbers, tenant records, bills, collections, expenses and all financial records never leave your device. They are stored only in your phone's local database and (optionally) your own private Google Drive. We never store, read or transmit them to our servers. Backend only handles login, landlord profile sync and anonymised dashboard counters.

2. Information we collect
Information you provide
- Google account info — name, email and profile photo for sign-in.
- Landlord profile — full name, phone, email, address, latitude/longitude.
- Property data — houses, flats, occupancy status, monthly rent.
- Tenant data — tenant names, photos, NID, phone numbers, family members, permanent address.
- Financial data — bills, collections, expenses, payment methods.
Information collected automatically
- Dashboard analytics counters — house count, flat count, tenant count, vacant-flat count, due-tenant count, database size, device brand/model, Android version. Sent to our backend so we can set subscription limits and promotions. No personal tenant or financial data is sent.
3. How we use information
- To operate property, tenant, billing and collection features.
- To authenticate you via Google Sign-In and issue a JWT.
- To send local notifications for rent dues, bill generation, backup and tenant move-out.
- To enforce subscription limits (max houses / flats / tenants) returned by the dashboard API.
- To show optional promotional banners on the dashboard.
4. Local-first storage — what never leaves your device
The following data is stored exclusively in a local Room database on your device and is never uploaded, transmitted or accessible to Black & White Studio's servers under any circumstances:
- NID (National ID) numbers of tenants and family members.
- Tenant personal data — names, photos, phone numbers, permanent addresses, family member details, move-in/move-out history.
- Tenant documents — uploaded ID scans, agreement copies, photos.
- Bills — rent, utility and custom bills, amounts, due dates, generation history.
- Collections & payments — cash, bank or mobile-banking entries, partial payments, receipts.
- Expenses — maintenance, repair, salary and any other recorded expenses.
- All financial records — balances, dues, ledgers, monthly summaries and reports generated from the above.
- Property data — house and flat details, occupancy, rent amounts, notes.
This data leaves your device only in two ways, both fully under your control: (1) if you enable Google Drive backup, it is written to your own private Drive AppData folder that we cannot read; (2) if you export a PDF/Excel report and share it manually. We have no API endpoint that receives this data. If you uninstall the app without a Drive backup, this data is permanently deleted.
5. Google Drive backup
When you enable Drive backup, House Manager writes the database, tenant images, documents and settings file to a private app folder in your own Google Drive (AppData scope).
- We do not access, read or store your backup.
- Auto-backup runs daily via WorkManager when internet is available.
- You may revoke Drive access via Google account settings any time.
6. Backend & analytics
House Manager's backend exposes only three endpoints:
POST /auth/google — verifies your Google token, returns a JWT, returns whether your profile is complete.
POST /profile/update — stores your landlord profile (name, phone, address, lat/lng).
POST /dashboard — sends numeric counters (house count, flat count, tenant count, vacant count, due count) and device info (brand, model, Android version, DB size in MB); receives subscription limits and promo banners.
No NID number, no tenant name or photo, no bill, no collection, no expense, no payment record and no financial data of any kind is sent to these endpoints or to any other server. The dashboard call sends only aggregate integer counts — never the underlying rows.
7. Permissions
- Camera — to capture tenant photos and document scans.
- Notifications — for rent-due, bill-generated and backup reminders.
- Internet — for login, profile sync, dashboard and Drive backup only.
- Location — only when you set a property's latitude/longitude.
- Drive (AppData) — to read/write your private backup file. Only requested when you enable backup.
8. Data sharing
We do not sell, rent or share your data with third parties for their own purposes. Data is shared only with Google (Auth, Drive) to operate the Service, and when required by law.
9. Security
- Local data is stored in the app's private storage sandbox.
- JWT tokens are stored in EncryptedSharedPreferences / DataStore.
- Backups travel over HTTPS and live in your private Drive AppData folder.
10. Retention & deletion
- Local data — kept on your device until you delete it from the app or uninstall.
- Drive backups — kept in your own Google Drive (AppData folder) until you delete them from Drive.
- Backend account — landlord profile and JWT records are kept until you request deletion (see section 11).
11. Account deletion
You can delete your House Manager account and all data we hold about you at any time. There are two ways:
In-app (recommended)
- Open House Manager → Settings → Account → Delete Account.
- Confirm with your Google sign-in.
- The app immediately wipes the local Room database, tenant images and cached preferences from your device.
- The app calls our backend to permanently delete your landlord profile, JWT and dashboard counters within 7 days.
By email
- Send a deletion request from your registered Google account to info@blacknwhitestudio.com with subject line "Delete my House Manager account".
- We verify your identity (the email must match your registered Google account) and confirm deletion within 7 business days.
What gets deleted
- Landlord profile (name, phone, email, address, lat/lng).
- Authentication record and any issued JWT.
- Dashboard counter history and device info tied to your account.
What you must delete yourself
- Local on-device data — uninstall the app, or use in-app "Delete Account" which clears it for you.
- Drive backups — go to Google Drive → Settings → Manage apps → House Manager → Delete hidden app data.
What we retain (and why)
- Anonymised, aggregated counters with no link to your identity, kept for product analytics.
- Records we are legally required to keep (e.g. tax/audit) for the minimum statutory period.
12. Your rights
You may access, correct, delete or export your account data by emailing us. Local on-device data is fully under your control via the app's settings.
13. Children's privacy
House Manager is not directed to children under 13. We do not knowingly collect data from children.
14. Changes & contact
